Is Work Instruction Software Worth It for a Small Shop?
The short answer
If "work instruction software" means a better editor, probably not. You already have one. Word, PowerPoint, and a folder on the server produce documents your auditor accepts, and every person in your shop already knows how to use them.
If it means getting the current revision into the operator's hands without you walking the floor, that is a different purchase, and it is a much smaller one.
Why nobody switches editors
A founder posted on r/manufacturing after two years building a work instruction editor. Cleaner than Excel, easier to use, genuinely better. One customer in two years.
That is not a bad product. That is a correct read on how shops buy. Switching authoring tools has no deadline attached to it. Nothing breaks on Friday if you keep using Word. Nobody writes a finding because your instructions were made in PowerPoint. The upgrade is real and the urgency is zero, so it sits on the list forever.
Two things in a small shop do have a date attached:
- An audit. Someone asks to see the current revision at the machine, and asks who was trained on it.
- An ECO. A revision goes out, and every printed copy of the old one is now a nonconformance waiting to be found.
Both of those are delivery problems, not authoring problems. You can write a perfect instruction and still fail on the floor because the binder at station 4 has Rev C in it.
The walk is the actual cost
You know the walk. Print the controlled copies, mark them, carry them out, pull the old ones, shred the old ones, initial the log. Then do it again next month when Engineering changes a dimension.
The walk is not expensive because of paper. It is expensive because it is your time, it happens on a schedule you do not control, and it fails silently. A missed copy does not announce itself. You find out during the audit, or when a part comes back.
That is what to price against. Not "does the editor feel nicer."
What per-user pricing does to a 15-person shop
The enterprise work instruction platforms are priced for plants, not shops. Dozuki is reported to carry a 50-user minimum. VKS is reported at roughly $350 per user per month. Both figures come from a competitor comparison page rather than the vendors themselves, so treat them as directional rather than quoted.
Either way, the shape is clear. If you have 15 operators and the pricing model charges per operator, or has a floor above your headcount, the math does not work no matter how good the software is. You would be buying seats for people who need to look at one document at one machine.
That is the real reason small shops stay on paper. Not stubbornness. Arithmetic.
What to buy instead
Keep authoring where it is. Write the instruction in whatever produces a document your quality system already accepts. Then fix the last three feet:
Put a QR tag on the machine. The operator scans it with the phone in their pocket. The current revision opens, formatted to read at the machine. No app, no login, no seat.
When the revision changes, you change it once. Every tag pointing at that job now serves the new one. The walk goes away, because there is nothing on the floor to swap. What is on the floor is a tag that never changes.
For the training register, the operator checks a box to sign for the revision they read, and you have a dated record to hand the auditor.
